Delivery and collection

Getting the coffee to you

How much is delivery?

Free delivery on UK mainland orders over £59 including VAT. Below that, the cost is calculated at checkout from your postcode and the weight of your basket, starting at £3.29. Every service and price is on the delivery information page.

When will my order arrive?

In-stock orders placed before 3pm on a working day are dispatched the same day; orders after 3pm on Friday or at the weekend leave on Monday. Standard delivery then takes 2–3 working days. The dispatch day and the delivery day are not the same thing, and the carrier’s timing is not something we can guarantee.

Do you offer next-day delivery?

Yes, to mainland UK: choose it at checkout and order before 3pm on a working day, subject to stock. It is not available in some postcode areas — the Highlands, the islands, Northern Ireland, the Isle of Man, the Channel Islands and the Isles of Scilly get the 2–3 working day service.

Where do you deliver?

Everywhere in the UK, including remote Scottish areas and the islands on the 2–3 working day service. We do not ship outside the UK at present.

Can I track my parcel?

Yes. Tracking is emailed automatically once your parcel is on its way. Deliveries to the door are made between 8.30am and 6pm and need a signature; on next-day parcels a one-hour slot comes by text or email when your order carries a mobile number and an email address.

Can I collect instead?

Yes, from Unit 1 Crofthead Centre, Livingston EH54 6DG, Monday to Friday 10am–5pm. Arrange it with us first, so the order is packed and waiting.

Ordering, payment and invoices

Ways to order and pay

Can I order by phone, email or purchase order?

Yes. Online, by telephone on 01506 237 555, by email to cs@cremaaroma.shop or with a purchase order, Monday to Friday 10am–5pm.

When and how do I pay?

Before dispatch, whichever way you order, unless a different arrangement has been agreed with us. Online, at the checkout; for orders placed by phone or email, by card over the phone, a card payment link or bank transfer — we dispatch once the payment is in.

Where is my invoice?

Every order has its own invoice, and you will find it on your account with the order. If you need a copy, ask us.

Can I repeat an order, or keep more than one delivery address?

Yes to both. Signed-in customers can repeat a previous order from their account history, and one account can hold several delivery addresses.

Returns and order problems

If something is not right

Can I return something if I change my mind?

Contact us first, before you send anything back, and we will tell you what applies to your order. The full conditions are in our refund policy.

My parcel arrived damaged, or something is missing or wrong

Tell us as soon as you can, with the order number and a photograph of the product and the packaging, and keep the packaging until it is sorted. We look at every case and put it right once we have seen what happened.

How do refunds work?

Once a return has reached us and been checked, we refund the card or account you paid with. Your bank may take a few days to show it.

Choosing, brewing and storing coffee

Keeping it good and making it well

How fresh is the coffee, and how should I store it?

Our Caffè Vergnano stock turns over quickly, and every pack carries its best-before date; ask us and we will confirm the date on a specific batch before you order. Keep coffee sealed, dry, cool and out of direct sun — a cupboard, not the fridge — and capsules dry and out of the sun. The guide How to keep coffee fresh at home has the detail.

Do you sell ground coffee, and can you grind beans for me?

We sell ground coffee, but we do not grind to order at the moment. The 250 g packs and tins come ready ground, and each product page names the methods that grind suits — they are not all espresso grinds, so read that line before you buy. If nothing you own can grind beans, say so in the Coffee Finder and it will leave the whole-bean coffees out.

Which coffee should I start with?

Start from how you brew. The Coffee Finder narrows the range to a few coffees for an espresso machine, a moka pot, filter, a cafetière, a bean-to-cup or a capsule machine, and every product page carries tasting notes, a strength scale and a “best for” line. A 250 g pack lets you try before you buy a kilo. Or start with the guide How to choose coffee for your brew method.

Do you have decaf and organic coffee?

Yes. Vergnano Decaffeinato comes as 1 kg beans, a 250 g ground tin and FAP capsules; the BIO Organic 100% Arabica comes in 1 kg beans.

How much coffee do I need per cup?

As a guide: 7 g for a single espresso and 16 g for a double, about 15 g for a 250 ml cup of filter coffee, 15 g for a three-cup moka pot, and 7–12 g in a bean-to-cup machine depending on its setting. These are conventional figures, not what any particular machine uses. More in How much coffee to use: a starting point.

Capsules

Which capsule fits what

Do Vergnano capsules fit my Nespresso machine?

The Oro, Cremoso, Intenso and Napoli capsules are sold as Nespresso®-compatible, ten to a box. If you are not sure your machine takes Nespresso-compatible capsules, send us its make and model before you order. The guide Which capsule fits your machine? explains both systems.

What are the FAP capsules?

A capsule format — Classico and Decaffeinato in boxes of 100. They fit FAP-system machines only and are not Nespresso-compatible.

Are the capsules compostable?

The Nespresso-compatible capsules have compostable shells, where local facilities accept them — check with your council before they go in the food-waste bin. Store capsules dry and out of the sun.

Stock and special orders

What we stock, and what we can get

A product is out of stock — when is it back?

Every product page has a back-in-stock notification you can join. For an expected return date, ask us — where it helps, we may be able to suggest an alternative in the meantime.

Can you get a Vergnano product that is not on the website?

Ask. We order from Vergnano in Italy monthly, so items outside our usual stock can often be brought in. Availability and timing are confirmed for each request, and specially sourced items are paid in advance; for business orders they cannot be returned on a change of mind.

Can you reserve stock for my regular orders?

If you buy regularly, tell us what you expect to need and we will plan our stock around it. A forecast on its own is not a reservation; a reserved quantity of a standard product is a separate agreement between us.

Coffee for Business

For cafés, retailers and workplaces

Who can open a trade account, and what does it change?

Any registered UK business — you do not need to be VAT registered, and a newly registered business or sole trader can apply. Accounts are usually open within one to two working days. Public prices and quantity discounts are visible to everyone; your account price appears once your trade account is approved and you are signed in, and larger volumes are quoted individually. Apply for a trade account, or read the Coffee for Business page first.

Is there a minimum business order?

There is no minimum business order. Ordering by the case is more economical — often six units, though it varies by product and is confirmed for each one — and mixed cases can be agreed.

Can I try the coffee before I commit?

Samples are agreed individually after a first conversation, once we know which coffee is worth putting in front of you, and are dispatched to an approved trade account with a delivery address. Tell us about your business to start.

How is business delivery different?

Trade parcels go by Parcelforce Next Working Day, dispatched the same working day when paid before 3pm, Monday to Friday; the carrier’s timing is not something we can guarantee. Free delivery on UK mainland orders over £59 including VAT. Other UK areas and pallet deliveries are quoted individually — pallet quantities are usually delivered free, confirmed for each order.

What if a business order arrives damaged or short?

Contact us quickly with the order details and photographs of the damage, and keep the packaging. An unopened product can be returned once we have agreed it, and for an agreed return within 30 days of delivery we pay the return cost. Pallets, oversized parcels and specially sourced goods cannot be returned on a change of mind; damage, faults, shortages and picking errors are always claims.

Can you help with Vergnano cups, signage or a licensed café?

Merchandising is discussed as part of the conversation about the coffee — branded cups and crockery, counter materials, signage, uniforms and retail displays, many at no charge for regular buyers, depending on volume and availability. A licensed Caffè Vergnano café is a separate path we can introduce to the brand; nothing about it is guaranteed. Merchandising is explained on the Coffee for Business page; for a licensed café, ask through the enquiry form there.
